Cancellation & Refund Policy
SportHoliday d.o.o. Last updated: April 2026This Cancellation & Refund Policy explains, in plain language, what happens if you or we need to cancel your booking. It forms part of our
Booking Terms & Conditions and does not replace them. Where there is any conflict, the Booking Terms & Conditions prevail.
In summary: you pay a small non-refundable deposit to hold your place, your race entry is non-refundable from the moment we commit it to the organiser, and the refundable portion of your package decreases the closer we get to departure. Travel insurance is the tool that protects you from the personal-circumstance risks we cannot refund.
1. Deposit
EUR 200 per traveller (or 10% of the package price, whichever is higher). Non-refundable.The deposit is paid at booking and secures your place on the tour. It is non-refundable under all circumstances, including your cancellation for personal reasons (illness, injury, visa refusal, change of mind). This is market standard for guaranteed race-entry packages.
2. Race Entry
Non-refundable from commitment.Where your package includes a guaranteed race entry (SuperHalfs races, Maratona dles Dolomites, Marcialonga, Cardiff Half Marathon, Berlin Half Marathon, Pogi Challenge, and similar), the race entry cost becomes non-refundable from the earlier of:
- The moment we pay the organiser for your place; or
- The moment we send you the organiser's registration invitation (for example, a Let's Do This partner invite for Cardiff Half Marathon).
This applies independently of the general cancellation scale in Section 3 below. Once your race entry is committed, we cannot recover it from the organiser, and we pass that cost through to you.
The race entry amount is disclosed on the tour page and confirmed in the booking confirmation so you know the exact value before paying.
3. Cancellation by You — Refund Scale
All cancellations must be sent
in writing by email to
hello@sportholiday.com, with a copy to
privacy@sportholiday.com. Cancellation takes effect on the date we receive your email.
Notice before tour start date | You receive back |
More than 60 days | All amounts paid minus EUR 200 deposit minus race entry cost (if already committed) |
30–60 days | Amounts paid minus our actual costs incurred with suppliers (hotel cancellation charges, committed transfers, and other non-recoverable supplier costs), and minus any committed race entry. The deposit is always retained. We always try to minimise your loss — if we recover costs from suppliers or fill your place, the actual deduction will be lower. |
Less than 30 days or no-show | 0% — we retain 100% of amounts paid |
The actual deduction in the 30–60 day window depends on what suppliers charge us at the time of your cancellation. Most European hotels have a cancellation window of 30–60 days; within that window we will confirm the exact amount within 7 business days of receiving your cancellation notice.
Examples
Example A. Package price EUR 1,200 (including EUR 180 race entry). Race entry not yet committed. You cancel 80 days before the tour: → You receive EUR 1,200 − EUR 200 =
EUR 1,000.
Example B. Same package. Race entry already committed to the organiser. You cancel 80 days before the tour: → You receive EUR 1,200 − EUR 200 − EUR 180 =
EUR 820.
Example C. Same package. Race entry already committed. You cancel 45 days before the tour. Hotel charges a 50% cancellation fee (EUR 400 of the EUR 800 accommodation cost): → We deduct EUR 200 deposit + EUR 180 race entry + EUR 400 hotel charge = EUR 780. → You receive EUR 1,200 − EUR 780 =
EUR 420.
Example D. You cancel 20 days before the tour or do not arrive: → You receive
EUR 0.
4. Transfer to Another Traveller
You may transfer your booking to another person who satisfies the booking conditions, under Article 9 of Directive (EU) 2015/2302, provided you give us at least
14 days' notice by email before the tour start date.
When transfer is requested | Cost |
Before race registration invitation sent | EUR 75 per traveller administration fee, plus any third-party costs (e.g., hotel name change) |
After race registration invitation sent | Subject to race organiser's own policy. Many organisers do not allow direct substitution — see below. Any organiser fees are passed on |
Important: Some race organisers (including Cardiff Half Marathon via Let's Do This) do not allow direct transfer between participants. In such cases, the original participant may need to be cancelled in the organiser's system and the replacement participant newly invited. If the organiser does not permit this at the time of your request, the race entry is forfeited and the new traveller would participate in the tour without a race slot. We advise requesting transfers well before the organiser's registration deadline.
5. Changes or Cancellation by Us5.1 Minimum participants
If a tour does not reach the minimum number of participants published on the tour page, we may cancel the tour:
- At least 20 days before the start date for tours longer than 6 days
- At least 7 days before the start date for tours of 2–6 days
- At least 48 hours before the start date for tours of less than 2 days
You receive a
full refund of all amounts paid, including the deposit and race entry if not yet committed. Where the race entry has been committed to the organiser, we will use reasonable efforts to recover or transfer the entry on your behalf.
5.2 Significant changes before departure
If we must alter a main characteristic of the travel services (dates, accommodation category, included services) before the tour starts, we will notify you promptly and you may:
- Accept the change
- Cancel without penalty and receive a full refund
- Accept a substitute package of equivalent or higher quality, if offered
5.3 Unavoidable and extraordinary circumstances (force majeure)
Force majeure includes natural disasters, severe weather affecting travel safety, war, civil unrest, terrorism, pandemics, government travel restrictions, and similar events beyond our control. See Section 11 of the
Booking Terms & Conditions for full detail.
If force majeure prevents the tour from taking place:
- You receive a refund of all payments made, less costs already and irrecoverably incurred with third-party suppliers (hotels, race organisers, transport) that cannot be recovered on your behalf
- We will use reasonable efforts to minimise unrecoverable costs and to seek deferrals or credits from suppliers where possible
- No additional compensation is payable
5.4 Race cancellation or postponement by the organiser
If a race is cancelled, postponed, or made virtual by the organiser, the refund or deferral of the race entry portion follows the organiser's policy. The rest of the package (accommodation, transfers, programme) is assessed separately:
- If the cancellation of the race causes us to cancel the tour, Section 5.2 or 5.3 applies
- If we can still deliver a reduced or modified tour without the race, we will offer you a partial refund reflecting the value of the race entry if recoverable, or a modified programme
6. How to Cancel or Change Your Booking
Send an email to
hello@sportholiday.com with the following information:
- Your full name and booking reference number
- Names of all travellers affected
- The tour name and start date
- The action requested (cancellation or transfer, including full details of the replacement traveller)
- Brief reason (not required, but helpful for our records)
We will acknowledge your email within 2 business days and confirm the refund amount within 7 business days. Refunds are paid to the original payment method where possible, or by bank transfer to an account in your name, within 14 days of confirmation.
7. Travel Insurance — Strongly Recommended
Most personal-circumstance reasons for cancellation (illness, injury, family emergency, visa refusal, job loss, missed connection) are
not covered by this Policy. They are covered by comprehensive travel insurance.
SportHoliday strongly recommends that every traveller purchase comprehensive travel insurance
at the time of booking, covering at minimum:
- Medical expenses and emergency repatriation
- Trip cancellation and curtailment
- Amateur road running / cycling / skiing activity coverage, as applicable to your tour
- Baggage and personal effects
Commonly used providers for active-travel coverage include
Yellow Jersey, Battleface, World Nomads, SportsCover Direct, and Allianz Travel. We are not an insurance intermediary and do not recommend any specific provider. Please read each policy carefully, checking that your activity is covered at the distance or discipline you booked.
Important: Failure to hold, claim under, or recover from your insurance does
not entitle you to any waiver, deferral, or reduction of the cancellation charges in Section 3.
8. Dispute Resolution
If you disagree with our application of this Policy, please contact us first at
hello@sportholiday.com to resolve the matter directly.
If we cannot reach agreement, as an EU consumer you may:
- Use the European Online Dispute Resolution platform: https://ec.europa.eu/consumers/odr
- File a complaint with the Slovenian Market Inspectorate (Tržni inšpektorat Republike Slovenije)
- Bring proceedings in the competent court in Ljubljana or, subject to mandatory consumer rules, in your country of residence
