These Booking Terms & Conditions ("Booking Terms") govern the contract between you (the "Traveller") and SportHoliday d.o.o. ("SportHoliday", "we", "us") when you book any tour, race package, training camp, or travel service offered by us. Please read them carefully before completing a booking.

SportHoliday d.o.o. is a licensed tour organiser and travel agent operating under the laws of the Republic of Slovenia, in particular the Slovenian Tourism Promotion Act (ZSRT-1), and in accordance with Directive (EU) 2015/2302 on Package Travel and Linked Travel Arrangements.
Insolvency Protection
Your payments are protected by a financial guarantee issued by GENERALI zavarovalnica d.d., Kržičeva ulica 3, 1000 Ljubljana (Garantno pismo No. 1/10020946706). In the event of SportHoliday's insolvency, your prepayments will be refunded and, if your trip has already started, repatriation will be arranged, in accordance with Article 17 of Directive (EU) 2015/2302.

2. Pre-Contractual Information (Article 5 Directive 2015/2302)
Before you make a booking, we provide on each tour page and in the booking flow the information required by Article 5 of Directive (EU) 2015/2302, including:
  • The main characteristics of the travel services (destination, itinerary, duration, included services)
  • Our identity, address, and contact details
  • The total price including taxes and, where applicable, additional fees
  • Payment arrangements and the amount and timing of the deposit and balance
  • The minimum number of persons required for the trip and the deadline for possible cancellation if that number is not reached
  • General passport and visa requirements
  • Whether the trip is generally suitable for persons with reduced mobility
  • Confirmation that insurance is NOT included in the price (see Section 10)
By accepting a booking offer, you confirm that you have received and read this pre-contractual information.

3. Formation of the Booking Contract
3.1. A booking request is a request by you to purchase the travel services described on the tour page. It is not binding until the steps below are completed.
3.2. Before you are bound by a booking contract, we provide the applicable pre-contractual information, including the tour itinerary, price, deposit and balance schedule, these Booking Terms, and insolvency-protection information.
3.3. We then send you a booking offer with payment instructions. You accept it by paying the required deposit or, where applicable, the full amount. The booking contract is confirmed when we confirm receipt and acceptance in writing, normally after cleared funds reach our account.
3.4. By making a booking on behalf of other travellers, you warrant that you have authority to do so, that each traveller has read and accepts these Booking Terms, and that you will communicate all relevant information (including insurance requirements and cancellation rules) to each traveller in the party.
3.5. All communications, confirmations, and documents will be sent to the email address provided at booking. It is your responsibility to ensure that this email address is correct and monitored.

4. What Is Included
Each tour's specific inclusions and exclusions are listed on the tour page and confirmed in the booking confirmation. Unless otherwise stated:
Generally included:
  • Accommodation as described (hotel category, number of nights, meals specified)
  • Race entry / slot (where the package is sold with a guaranteed race place)
  • Group transfers as per the programme
  • Tour guide or coach support during the scheduled programme
  • Tour merchandise, where stated
Generally NOT included:
  • Flights to and from the destination
  • Airport transfers (unless explicitly stated)
  • Travel insurance, medical insurance, and sports activity cover (see Section 10)
  • Lunches and dinners (unless stated)
  • Equipment rental (bicycle, ski, timing chip upgrades)
  • Personal expenses, gratuities, and incidentals
  • Visas, passport fees, and any taxes or fees payable locally

5. Price and Payment
5.1. Currency. All prices are in Euros (EUR). Payments must be made in EUR. Currency conversion costs applied by your bank are your responsibility.
VAT / Tour Operators Margin Scheme. Package prices are quoted inclusive of all applicable taxes. SportHoliday d.o.o. invoices under the EU special scheme for tour operators (TOMS, Articles 306–310 of Directive 2006/112/EC and Articles 95–99 of the Slovenian ZDDV-1). Accordingly, VAT is not shown as a separate line on invoices, and input VAT on services provided for the direct benefit of the traveller is not deductible. Invoices carry the statutory TOMS notice.
5.2. Deposit and payment schedule. The required deposit, balance due date, and payment schedule vary by package. The exact deposit amount and payment schedule are confirmed in your booking confirmation or booking offer before you pay.
The deposit is a package-specific standard termination fee for cancellation by you. It is set before payment based on expected and committed costs, race-entry or supplier commitments, administrative work, expected savings, and realistic resale prospects. It is non-refundable except where mandatory package-travel law gives you a right to a full refund. For packages that include guaranteed or limited race entries, the deposit may be higher than for standard travel packages because we may need to commit your race entry to the organiser early.
Unless the booking confirmation or booking offer states otherwise, the remaining balance is due no later than 60 days before the tour start date.
For bookings made less than 60 days before the tour start date, the full amount is normally due immediately upon booking confirmation.
For bookings made less than 30 days before the tour start date, acceptance is at our discretion and may depend on whether organiser registration deadlines still allow participation.
5.3. Payment methods.
  • Deposit: payable online via a Revolut Merchant Payment Link sent to you after booking confirmation, or by bank transfer where agreed. Revolut Payments UAB (Vilnius, Lithuania) processes card transactions. We do not see or store your card details.
  • Balance: payable by bank transfer to our Revolut Business account (IBAN and reference provided in the balance invoice) or, where agreed, via a further Revolut Payment Link.
  • Payment is considered received on the date cleared funds reach our account.
5.4. Race entry commitments are non-refundable. Where your package includes a guaranteed race entry (e.g. BMW BERLIN-MARATHON, SuperHalfs races, Maratona dles Dolomites, Marcialonga, Cardiff Half Marathon, Berlin Half Marathon, Pogi Challenge, or similar), the race-entry commitment becomes non-refundable from the earlier of: (a) the moment we commit or pay for your place with the organiser, or (b) the moment we send you the organiser's registration invitation, access code, or registration link.
This applies regardless of the general cancellation scale in Section 8 and is reflected in the refund calculation. We do not disclose organiser commercial terms, wholesale slot economics, or organiser slot costs publicly or in customer-facing booking documents.
5.5. Registration link after full payment. Where participation in a race requires you to complete registration on the organiser's platform (e.g. Let's Do This for Cardiff Half Marathon), we will send you the registration invitation only after full payment has been received. You are then responsible for completing the registration by the organiser's deadline (which is published on the tour page and in the booking confirmation). SportHoliday is not liable for loss of entry resulting from your failure to register by the organiser's deadline.
5.6. Price changes before departure. In accordance with Article 10 of Directive 2015/2302, we may change the price only:
  • To reflect changes in fuel or other energy costs, taxes or fees charged by third parties not directly involved in the performance of the contract (including tourist taxes, landing taxes, embarkation or disembarkation fees at ports and airports), or exchange rates relevant to the package
  • No later than 20 days before the tour start date
If the price increase exceeds 8% of the total package price, you may cancel the contract without penalty and receive a full refund, or accept a substitute package if we offer one.
You are entitled to a price reduction corresponding to any decrease in the costs listed above occurring after conclusion of the contract and before the start of the package.

6. Changes by the Traveller
6.1. Transfer of booking to another person (Article 9 Directive 2015/2302). You may transfer your booking to another person who satisfies all the conditions applicable to the contract, provided that:
  • You give us reasonable notice on a durable medium (email). Notice given at least 7 days before the tour start date is considered reasonable under Article 9 of Directive (EU) 2015/2302; we ask for at least 14 days where possible
  • The transfer is administratively and practically possible and allowed under the specific organiser's rules for the relevant race or event
Before the race registration invitation is sent to you:
  • Transfer fee: EUR 60 per traveller for handling the request and administrative processing, not exceeding our actual administrative cost, plus any third-party costs incurred (e.g., hotel name-change fees or organiser fees). Evidence of transfer costs is available on request.
After the race registration invitation has been sent:
  • Transfer is subject to the race organiser's own policy and unique rules for the relevant event. Race-entry transfer is not guaranteed. If the organiser does not allow the race entry to be transferred, only the non-race travel services may be transferred, and only if you and the replacement traveller explicitly accept participation without the race entry. Otherwise, the normal cancellation rules and a new booking apply. Any organiser-imposed fees are passed on to you.
You and the transferee are jointly and severally liable for any outstanding balance and any transfer costs.
6.2. Other changes (dates, accommodation, number of travellers) are accepted only to the extent they are administratively possible. We will inform you of any additional costs before confirming the change. A change that materially alters the booking (e.g., change of dates) may be treated as a cancellation by you under Section 8 followed by a new booking.
7. Changes or Cancellation by SportHoliday
7.1. Minimum number of participants. If a tour does not reach the minimum number of participants stated on the tour page, we may cancel the tour no later than:
  • 20 days before the tour start date for tours of more than 6 days
  • 7 days before the tour start date for tours of 2 to 6 days
  • 48 hours before the tour start date for tours of less than 2 days
You will receive a full refund of all amounts paid, without additional compensation.
7.2. Significant changes. If we are constrained to alter any of the main characteristics of the travel services before the start of the package (in accordance with Article 11 of Directive 2015/2302), we will notify you as soon as possible and you may either:
  • Accept the proposed change
  • Terminate the contract without paying a termination fee and receive a full refund
  • Accept a substitute package of equivalent or higher quality, where offered
We will confirm the substitute, refund, or termination within a reasonable period (typically 48 hours from your response).
7.3. Unavoidable and extraordinary circumstances (force majeure). We may terminate the contract and provide a full refund of payments made, without additional compensation, if we are prevented from performing the contract because of unavoidable and extraordinary circumstances (see Section 11).

8. Cancellation by the Traveller
8.1. How to cancel. You must notify cancellation in writing by email to hello@sportholiday.com with a copy to travel@sportholiday.com. Cancellation takes effect on the date we receive your email.
8.2. Cancellation fees. The scale of cancellation fees is set out in the separate Cancellation & Refund Policy, which forms part of these Booking Terms. In summary:

All amounts paid minus the non-refundable deposit stated in your booking confirmation, and minus any race-entry or supplier costs already committed and not already included in that deposit

30–60 days

Amounts paid minus actual costs already incurred or committed with suppliers, including the race organiser, accommodation, transport, and other non-recoverable costs. We use reasonable efforts to recover costs or resell your place where possible

Less than 30 days or no-show

Normally no refund, except for mandatory statutory rights or recoveries we are able to obtain from suppliers or organisers

Race-entry commitments are non-refundable under the conditions set out in Section 5.4, independently of the scale above.
We confirm the exact refund amount within 7 business days of receiving your cancellation notice.
8.3. Illness, injury, visa refusal, or other personal circumstances. These do not entitle you to a refund beyond the scale in Section 8.2. We strongly recommend comprehensive travel insurance (see Section 10).

9. Traveller Obligations
You must:
  • Provide accurate and complete information at booking (full name as per passport, date of birth, nationality, contact details)
  • Hold a valid passport with at least 6 months' validity beyond the tour end date and any required visas for the destination and any transit countries
  • Arrive at the designated meeting point on time on the first day of the programme
  • Hold comprehensive travel insurance covering the full duration of the trip, including the primary sport activity of the programme (see Section 10)
  • Be in a physical and medical condition suitable for the chosen tour or race. Certain activities (running, cycling, skiing, hiking) carry inherent risks. If you have any health condition that may affect participation, you should consult your doctor before booking and obtain appropriate medical clearance
  • Comply with the laws, customs, and local regulations of the destination country
  • Follow safety instructions from the tour guide, coach, or organiser at all times
  • Register for the race (where applicable) using the organiser's platform by the organiser's deadline, using the invitation we send after full payment (Section 5.5)
We are not responsible for consequences arising from your failure to meet these obligations, including loss of race entry, inability to travel, or inability to participate in the tour.

10. Travel Insurance
10.1. Insurance is not included. Travel insurance (including medical insurance, emergency repatriation, trip cancellation and curtailment, baggage, personal accident, and sports activity cover) is NOT included in the package price.
10.2. Strongly recommended. SportHoliday strongly recommends that each traveller purchase comprehensive travel insurance at the time of booking, covering at minimum:
  • Medical expenses and emergency repatriation
  • Trip cancellation and curtailment
  • Amateur road running / cycling / skiing activity coverage, as applicable to your tour
  • Baggage and personal effects
  • Personal accident and third-party liability
10.3. Traveller responsibility. It is your sole responsibility to ensure you hold adequate insurance coverage for the entire duration of the trip, including the race day and any training activities. We recommend you check that your policy covers the specific activity (for example, competitive road running at the distance booked).
10.4. Impact on cancellation. Failure to hold, claim under, or recover from your insurance does not entitle you to any waiver, deferral, or reduction of the cancellation charges set out in Section 8 or the Cancellation & Refund Policy.
10.5. Suggested brokers. We do not recommend any specific provider and encourage you to compare products and read each policy's terms, including activity coverage and exclusions.

11. Unavoidable and Extraordinary Circumstances (Force Majeure)
11.1. Neither party is liable for non-performance caused by unavoidable and extraordinary circumstances beyond its reasonable control, including but not limited to: natural disasters, severe weather affecting travel or race safety, war, civil unrest, terrorism, pandemics, epidemics, government travel restrictions, border closures, and strikes affecting aviation or ground transport.
11.2. Before the tour starts. If unavoidable and extraordinary circumstances occur at the destination or its immediate vicinity and significantly affect the performance of the package, or significantly affect carriage to the destination, you may terminate the contract before the start of the package without paying a termination fee. In that case, you are entitled to a full refund of payments made for the package, but not to additional compensation.
If we are prevented from performing the package because of unavoidable and extraordinary circumstances, we may terminate the contract and provide a full refund of payments made, without additional compensation.
11.3. During the tour. If unavoidable and extraordinary circumstances occur during the tour, we will provide necessary assistance as required by Article 16 of Directive 2015/2302, including information on health services, local authorities, and consular assistance, and assistance in making distance communications and finding alternative travel arrangements.
11.4. Race cancellation, postponement, or virtualisation by the organiser. If the organiser cancels, postpones, materially changes, or virtualises the race, we assess whether this is a significant change to the package and apply your mandatory package-travel rights where applicable. If we cancel the package, or if the change gives you a statutory right to terminate without a termination fee, the refund rules in Sections 7 and 11 apply and are not limited by whether the organiser refunds us. If we can still deliver a reduced or modified package and you accept it, the race-entry portion follows the organiser's published recovery, deferral, or transfer policy, and we pass any recovery on to you.

12. Liability
12.1. Performance of the package. SportHoliday is responsible for the proper performance of all the travel services included in the package, in accordance with Articles 13–14 of Directive 2015/2302.
12.2. Non-conformity. If any travel service is not performed in accordance with the contract, you must inform us without undue delay (see Section 13). We will remedy the non-conformity where possible, unless the remedy is impossible or would entail disproportionate costs.
12.3. Limitation of liability. To the extent permitted by law and in accordance with Article 14(4) of Directive 2015/2302:
  • Liability for damage other than personal injury, or damage not caused intentionally or with negligence, is limited to three times the total price of the package per traveller
  • Liability for personal injury, or damage caused intentionally or with negligence, is not limited
Where international conventions limit the extent of compensation payable by a service provider carrying out a travel service (e.g., the Montreal Convention for air carriage, the Athens Convention for sea carriage), the same limits apply to us.
12.4. Exclusions. We are not liable for non-conformity that is:
  • Attributable to you
  • Attributable to a third party unconnected with the provision of the travel services and unforeseeable or unavoidable
  • Caused by unavoidable and extraordinary circumstances (Section 11)
12.5. Excursions and activities outside the package. Excursions, activities, or services purchased independently at the destination (from the hotel, a local provider, or the race organiser outside our package) are not part of the contract and are the sole responsibility of the traveller.

13. Complaints
13.1. During the trip. If you experience a problem during the trip, please notify your tour guide or the SportHoliday representative immediately so we can attempt to resolve it on the spot.
13.2. After the trip. If the issue is not resolved during the trip, submit a written complaint within 28 days of returning home to hello@sportholiday.com. We will acknowledge receipt within 7 days and respond substantively within 28 days.
13.3. Alternative dispute resolution. As an EU consumer, you may submit a dispute to a recognised alternative dispute resolution body under Directive 2013/11/EU. You may also file a complaint with the competent Slovenian supervisory authority for travel services (Tržni inšpektorat Republike Slovenije — Market Inspectorate of the Republic of Slovenia).

14. Personal Data
We process personal data in accordance with the Privacy Policy, which forms part of these Booking Terms. By making a booking, you acknowledge that you have read the Privacy Policy.

15. Photography and Media
15.1. Documentation. During tours and races, SportHoliday staff may photograph or film activities for internal documentation and safety purposes, including insurance claim evidence, operational review, and training of guides. This processing is based on our legitimate interest (Article 6(1)(f) GDPR).
15.2. Marketing use — separate consent. Photographs and videos that identify you are used in our marketing materials (website, social media, newsletters) only if you have given separate, specific consent via the booking form. You may withdraw that consent at any time by emailing privacy@sportholiday.com. Withdrawal does not affect the lawfulness of use before withdrawal. We will remove future use and make reasonable efforts to remove existing public use within 30 days.
15.3. Third-party event photography. Race organisers (such as Cardiff Half Marathon / Run 4 Wales) and their photography partners may photograph all participants as part of the event. That processing is governed by the organiser's own terms and privacy notice, not ours.

16. Governing Law and Jurisdiction
16.1. These Booking Terms are governed by the laws of the Republic of Slovenia.
16.2. Any dispute shall be subject to the exclusive jurisdiction of the competent court in Ljubljana, Slovenia, subject to mandatory consumer protection rights allowing EU consumers to bring proceedings in their country of residence.
16.3. Nothing in these Booking Terms excludes or limits your rights as a consumer under mandatory law, including Directive (EU) 2015/2302 as implemented in Slovenia by ZSRT-1.

17. Entire Agreement and Severability
17.1. These Booking Terms, together with the Cancellation & Refund Policy, the Privacy Policy, the tour page, and the booking confirmation, constitute the entire agreement between you and SportHoliday regarding your booking.
17.2. If any provision of these Booking Terms is found by a competent court to be invalid or unenforceable, the remaining provisions continue in full force and effect.
