This Cancellation & Refund Policy explains, in plain language, what happens if you or we need to cancel your booking. It forms part of our Booking Terms & Conditions and does not replace them. Where there is any conflict, the Booking Terms & Conditions prevail.
In summary: the deposit and payment schedule depend on the package and are confirmed before you pay. The deposit is a package-specific standard termination fee and is non-refundable except where mandatory package-travel law gives you a right to a full refund. Any refund is calculated from the amounts you have paid, minus the non-refundable deposit and minus any race-entry, supplier, or other costs already committed and not already included in that deposit. Travel insurance is the tool that protects you from the personal-circumstance risks we cannot refund.

1. Deposit
The deposit amount varies by package and is confirmed before you pay.
The deposit secures your place on the tour or race package. The exact deposit amount and payment schedule are confirmed in your booking confirmation or booking offer before you pay.
The deposit is a package-specific standard termination fee for cancellation by you. It is set before payment based on expected and committed costs, race-entry or supplier commitments, administrative work, expected savings, and realistic resale prospects. It is non-refundable except where mandatory package-travel law gives you a right to a full refund. For packages that include guaranteed or limited race entries, the deposit may be higher than for standard travel packages because we may need to commit your race entry to the organiser early.

2. Race Entry
Non-refundable from commitment.
Where your package includes a guaranteed race entry the race-entry commitment becomes non-refundable from the earlier of:
  • The moment we commit or pay for your place with the organiser; or
  • The moment we send you the organiser's registration invitation, access code, or registration link.
This applies independently of the general cancellation scale in Section 3 below. Once your race entry is committed, we cannot recover it from the organiser, and we pass that cost through to you.
We do not disclose organiser commercial terms, wholesale slot economics, or organiser slot costs publicly or in customer-facing booking documents.

3. Cancellation by You — Refund Scale
All cancellations must be sent in writing by email to hello@sportholiday.com, with a copy to travel@sportholiday.com. Cancellation takes effect on the date we receive your email.

Amounts paid minus actual costs already incurred or committed with suppliers, including the race organiser, accommodation, transport, and other non-recoverable costs. We use reasonable efforts to recover costs or resell your place where possible

Less than 30 days or no-show

Normally no refund, except for mandatory statutory rights or recoveries we are able to obtain from suppliers or organisers

Race-entry commitments are non-refundable under the conditions set out in Section 2, independently of the scale above.
The actual deduction in the 30–60 day window depends on what suppliers charge us at the time of your cancellation. Most European hotels have a cancellation window of 30–60 days; within that window we will confirm the exact amount within 7 business days of receiving your cancellation notice.
Examples
Example A. Your booking confirmation states a non-refundable deposit. You cancel more than 60 days before the tour, and no further supplier costs have been committed:
→ You receive all amounts paid minus the non-refundable deposit.
Example B. Your race entry has already been committed to the organiser. You cancel more than 60 days before the tour:
→ You receive all amounts paid minus the non-refundable deposit and any committed race-entry amount not already included in that deposit.
Example C. You cancel 45 days before the tour. The hotel charges a cancellation fee and the race entry has already been committed:
→ We deduct the non-refundable deposit, any committed race-entry amount not already included in that deposit, and the actual hotel cancellation charge. You receive the remaining balance, if any.
Example D. You cancel less than 30 days before the tour or do not arrive:
→ Normally, there is no refund. If mandatory law applies or we recover money from a supplier or organiser, we reflect that in the final refund calculation.

4. Transfer to Another Traveller
You may transfer your booking to another person who satisfies the booking conditions, under Article 9 of Directive (EU) 2015/2302, provided you give us reasonable notice by email before the tour start date. Notice given at least 7 days before the tour start date is considered reasonable under Article 9; we ask for at least 14 days where possible.

EUR 60 per traveller administration fee for handling the request and administrative processing, not exceeding our actual administrative cost, plus any third-party costs (e.g., hotel name change or organiser fees). Evidence available on request

After race registration invitation sent

Subject to the specific organiser's own policy and unique event rules. Many organisers do not allow direct substitution — see below. Any organiser fees are passed on

Important: Race-entry transfer is not guaranteed. Some race organisers do not allow direct transfer between participants. If the organiser does not allow the race entry to be transferred, only the non-race travel services may be transferred, and only if you and the replacement traveller explicitly accept participation without the race entry. Otherwise, the normal cancellation rules and a new booking apply. We advise requesting transfers well before the organiser's registration deadline.

5. Changes or Cancellation by Us5.1 Minimum participants
If a tour does not reach the minimum number of participants published on the tour page, we may cancel the tour:
  • At least 20 days before the start date for tours longer than 6 days
  • At least 7 days before the start date for tours of 2–6 days
  • At least 48 hours before the start date for tours of less than 2 days
You receive a full refund of all amounts paid. Where a race entry has already been committed to the organiser, we will use reasonable efforts to recover, defer, or transfer it where possible, but this does not reduce your statutory refund where we cancel the package because the published minimum number of participants is not reached.
5.2 Significant changes before departure
If we must alter a main characteristic of the travel services (dates, accommodation category, included services) before the tour starts, we will notify you promptly and you may:
  • Accept the change
  • Cancel without penalty and receive a full refund
  • Accept a substitute package of equivalent or higher quality, if offered
5.3 Unavoidable and extraordinary circumstances (force majeure)
Force majeure includes natural disasters, severe weather affecting travel safety, war, civil unrest, terrorism, pandemics, government travel restrictions, and similar events beyond our control. See Section 11 of the Booking Terms & Conditions for full detail.
If unavoidable and extraordinary circumstances occur at the destination or its immediate vicinity and significantly affect the performance of the package, or significantly affect carriage to the destination, you may terminate the contract before the start of the package without paying a termination fee. In that case, you are entitled to a full refund of payments made for the package, but not to additional compensation.
If we are prevented from performing the package because of unavoidable and extraordinary circumstances, we may terminate the contract and provide a full refund of payments made, without additional compensation.
5.4 Race cancellation or postponement by the organiser
If a race is cancelled, postponed, made virtual, or materially changed by the organiser, we assess whether this is a significant change to the package and apply your mandatory package-travel rights where applicable. The rest of the package (accommodation, transfers, programme) is assessed separately:
  • If the race change causes us to cancel the package, or if it gives you a statutory right to terminate without a termination fee, Section 5.2 or 5.3 applies and your refund is not limited by whether the organiser refunds us
  • If we can still deliver a reduced or modified package and you accept it, the race-entry portion follows the organiser's published recovery, deferral, or transfer policy, and we pass any recovery on to you

6. How to Cancel or Change Your Booking
Send an email to hello@sportholiday.com with a copy to travel@sportholiday.com and include the following information:
  • Your full name and booking reference number
  • Names of all travellers affected
  • The tour name and start date
  • The action requested (cancellation or transfer, including full details of the replacement traveller)
  • Brief reason (not required, but helpful for our records)
We will acknowledge your email within 2 business days and confirm the refund amount within 7 business days. Refunds are paid to the original payment method where possible, or by bank transfer to an account in your name, without undue delay and no later than 14 days after the package travel contract is terminated.

7. Travel Insurance — Strongly Recommended
Most personal-circumstance reasons for cancellation (illness, injury, family emergency, visa refusal, job loss, missed connection) are not covered by this Policy. They are covered by comprehensive travel insurance.
SportHoliday strongly recommends that every traveller purchase comprehensive travel insurance at the time of booking, covering at minimum:
  • Medical expenses and emergency repatriation
  • Trip cancellation and curtailment
  • Amateur road running / cycling / skiing activity coverage, as applicable to your tour
  • Baggage and personal effects
Commonly used providers for active-travel coverage include Yellow Jersey, Battleface, World Nomads, SportsCover Direct, and Allianz Travel. We are not an insurance intermediary and do not recommend any specific provider. Please read each policy carefully, checking that your activity is covered at the distance or discipline you booked.
Important: Failure to hold, claim under, or recover from your insurance does not entitle you to any waiver, deferral, or reduction of the cancellation charges in Section 3.

8. Dispute Resolution
If you disagree with our application of this Policy, please contact us first at hello@sportholiday.com to resolve the matter directly.
If we cannot reach agreement, as an EU consumer you may:
  • File a complaint with the Slovenian Market Inspectorate (Tržni inšpektorat Republike Slovenije)
  • Bring proceedings in the competent court in Ljubljana or, subject to mandatory consumer rules, in your country of residence
